Reply to every new lead within a minute, day or night.

Trigger: Form submitted, survey submitted or Facebook lead form

  1. Create the opportunity in “New lead” and assign an owner
  2. Send a short text with a booking link
  3. Send a welcome email
  4. Notify the owner
  5. Wait for a reply or booking (up to 1 day), then send one follow-up text

Stops when: Lead replies, books or opts out

Tip: Keep the first text under 160 characters with no emojis, so it stays one SMS segment.

Recipe 2

Missed-call text-back

Turn unanswered calls into conversations.

Trigger: Call status: missed (or Missed Call Text Back setting)

  1. Text the caller: “Sorry we missed you, how can we help?”
  2. Create a task for the owner
  3. If they reply, notify the team in the inbox

Stops when: Caller replies or is called back

Tip: Set the missed-call timeout to 10–20 seconds and mention your hours for after-hours callers.

Appointment confirmation and reminders

Cut no-shows.

Trigger: Appointment booked

  1. Move the deal to “Booked”
  2. Send a confirmation by text and email
  3. Send a reminder 24 hours before
  4. Send a reminder 2 hours before
  5. Stop any “please book” messages

Stops when: Appointment cancelled, rescheduled or completed

Trigger: Appointment status: no-show

  3. Wait 2 days; if not rebooked, send one more message
  4. Move the deal to “No-show”

Start delivery the moment someone pays.

  2. Send a receipt and welcome message
  3. Create onboarding tasks for the team

Collect reviews from happy customers.

Trigger: Appointment completed or job marked done

  1. Wait a few hours
  2. Ask how it went
  3. If positive, send the review link
  4. If negative, alert the owner instead

Tip: Never send review requests during an open complaint or refund.

Trigger: Added to a Smart List (e.g. lost for timing, no purchase in 12 months)

  1. Send a relevant offer or check-in by text
  2. Follow up by email after 3 days
  3. If they reply or click, create an opportunity and notify the owner
