  • Trigger: no change for X days, filtered by pipeline, stage or fields
  • Send the owner a task, then alert a manager if it’s still stuck
  • Colour-code with smart tags so the board shows it

Lost reasons

  • Add a lost reason whenever a deal is marked Lost
  • Workflows can filter on the lost reason (e.g. “price” → offer a smaller package later)
  • Make it required, or blanks show as “None” in reports

    Add 5–7 stages

    One per customer step. Add opportunity custom fields such as service type or source.

    Share as View only for reps and Edit for managers.

What is a pipeline in GoHighLevel?
A pipeline is a set of stages a deal moves through, such as New → Booked → Won. Each deal in it is an “opportunity” with a value, owner and status, shown as a card on a board or a row in a list.
What is the difference between contacts and opportunities in GHL?
A contact is the person. An opportunity is one deal with that person inside a pipeline. A contact can have several opportunities across different pipelines.
Can I have multiple pipelines for one business?
Yes. Create one pipeline per process, for example sales, onboarding and renewals. HighLevel doesn’t publish a cap on the number of pipelines, but recommends keeping only the stages that matter.
How do I automatically move an opportunity to the next stage?
Use a workflow with the “Create/Update opportunity” action. Common triggers are Appointment booked, Form submitted, Invoice paid and Customer replied.
How do I trigger a workflow when a pipeline stage changes?
Use the “Pipeline stage changed” trigger and filter by pipeline and stage. Use “Opportunity status changed” for Won, Lost or Abandoned.
Why didn’t my opportunity update after a workflow ran?
The usual causes: the contact has no opportunity in that pipeline and “allow creating new” is off, the workflow targets a different pipeline, or the contact has several opportunities and the action updated a different one. Check the workflow’s execution log.
What do Open, Won, Lost and Abandoned mean?
They are the opportunity status, separate from the stage. Open is in progress, Won is closed and paid, Lost is closed and not won (with an optional lost reason), and Abandoned means the lead went silent.
How do I find stuck deals?
Use the “Stale opportunities” trigger (no change for X days) or a list-view smart list sorted by last updated. Each pipeline supports up to 60 smart tags to flag cards.
Can I see all pipelines at once?
Yes, in List view with “All pipelines”. Board (Kanban) view shows one pipeline at a time.
Can I stop reps editing pipeline stages?
Yes. Share the pipeline as View only: users can still move and update opportunities, but only users with Edit access can add, rename or delete stages.
How do I show revenue forecasts?
Each opportunity has a value, and dashboard widgets show pipeline value by stage, counts by status and lost deals by reason. For weighted forecasts, many teams add a probability field per stage.
Can I require fields before a deal moves stage?
Yes, with conditional custom fields for opportunities (a Labs feature): fields can become required when a deal reaches a stage or status.
