Getting data in

How to import contacts into GoHighLevel without duplicates

Most messy CRMs start with a messy first import. Do these four steps in order.

  1. Step 1

    Set duplicate rules first

    Settings → Business Profile → Contact Preferences: turn off “Allow duplicate contacts” and choose email or phone as the primary match.

  2. Step 2

    Create custom fields

    Columns can only map to fields that already exist. Create them in Settings → Custom Fields before you upload.

  3. Step 3

    Clean the CSV

    One sheet, under 30 MB, UTF-8, dates as YYYY-MM-DD, and every row with a name, email or phone.

  4. Step 4

    Import, tag and verify

    Pick create, update or both, tag the batch (e.g. “import-2026-10”) and spot-check ten records.

Import rules from HighLevel’s help centre

  • Only admins can import
  • Matching order: Contact ID → email → phone
  • Bulk imports don’t fire the “Contact Created” trigger: add them to a workflow in the last step instead
  • There’s no one-click undo: the import tag is how you find and remove a bad batch
  • Opportunities import separately from the Opportunities page, mapped to a pipeline and stage

What is the difference between tags and custom fields?
Tags are yes/no labels (e.g. “roof-quote”, “vip”) that are quick to add and great for triggering workflows. Custom fields store a value (a date, an amount, a choice). Use a field when you need the actual value; use a tag when you only need to know “is it true?”.
How do I import contacts without creating duplicates?
Turn off “Allow duplicate contacts” in Settings → Business Profile → Contact Preferences and choose email or phone as the matching field. HighLevel matches imports by Contact ID → email → phone. Keep files under 30 MB and tag every import so you can find or remove it later.
Can I merge duplicate contacts?
Yes. Admins can merge up to 10 contacts at a time and choose the master record. Merges can’t be undone, and the master’s existing custom field values aren’t overwritten.
Can I recover deleted contacts in GoHighLevel?
Yes, within 60 days: Contacts → three-dot menu → Restore. Bulk deletes can be reversed from Bulk Actions. Restore isn’t available on HIPAA-enabled accounts.
Does HighLevel support custom objects?
Yes, on every plan: up to 10 custom objects per sub-account and 300,000 records per object, linked to contacts, companies and opportunities with labelled associations.
Can I separate B2B companies from individual contacts?
Yes. Use the Companies object for businesses and link each contact to their company. Custom objects can model more complex relationships.
Can I restrict salespeople to their own leads?
Yes. Give the user the User role and switch on “only assigned data”. They then see only their assigned contacts, the opportunities they own and their own appointments and tasks.
Can GoHighLevel assign leads automatically (round robin)?
Yes. The “Assign to user” workflow action rotates through the selected users, with equal or weighted traffic splits, and can skip contacts that already have an owner.
Can I score leads in HighLevel?
Yes. Set engagement score rules in Settings, adjust scores in workflows, and trigger follow-up when a contact passes a threshold.
Does the Contact Created trigger fire on imports?
No. Bulk CSV imports don’t fire it, to stop accidental mass automations. Add imported contacts to a workflow in the last import step instead.
Can I export my CRM data?
Yes. Contacts export to CSV from a smart list (only the visible columns, and only the latest note), and opportunities export from an opportunity smart list. Files are collected from Bulk Actions and kept for 30 days. Each sub-account exports separately.
