Setup
Set up a dedicated sending domain
The single biggest deliverability fix in HighLevel, and a one-off DNS job.
- Step 1
Pick a subdomain
e.g. mail.yourbrand.com. Required if your root domain already runs Google Workspace or Outlook.
- Step 2
Add it in HighLevel
Settings → Email Services → Dedicated Domain and IP. Each sub-account can have its own.
- Step 3
Add 5 DNS records
2 TXT (SPF, DKIM), 2 MX, 1 CNAME. Copy them from your own screen; use only the subdomain part as the host.
- Step 4
Verify, then add DMARC
A TXT record at _dmarc, starting with p=none while you monitor.
- Step 5
Align the From address
Send from an address on the same domain; warmup begins automatically.
HighLevel guides: dedicated sending domain · DMARC · fixing SPF, DKIM and DMARC errors.
Jargon
SPF, DKIM and DMARC in plain English
Three DNS records that prove your emails really come from you.
SPFSPF: Sender Policy Framework: a DNS record listing the servers allowed to send email for your domain.
Lists which servers may send for your domain. HighLevel’s SPF value is the same for every account.
DKIMDKIM: DomainKeys Identified Mail: a cryptographic signature that proves an email came from your domain and wasn’t changed.
A signature proving the email wasn’t changed. Unique to your domain.
DMARCDMARC: Domain-based Message Authentication, Reporting and Conformance: tells inboxes what to do when SPF or DKIM fail, and requires them to match your From domain.
Tells inboxes what to do when checks fail. Passes only when SPF or DKIM match your From domain.
- Google and Yahoo expect DMARC from anyone sending over 5,000 emails a day
- On a shared sending domain, that 5,000 is counted across every sub-account using it
- Start with p=none, read the reports, then tighten the policy
- A From address on a different domain breaks DMARC alignment
Limits
Daily sending limits: which one applies to you
HighLevel runs three models depending on when your agency started and whether you use a dedicated domain.
| Compare | Older agencies (shared) | Agencies from 27 April 2026 (shared) | Trial agencies | Dedicated domain |
|---|---|---|---|---|
| How it ramps | ||||

| Top | 25,000/day | 25,000/day | 500/day | 250,000/day in warmup; up to 550,000/day |

- Existing domains get a recommended starting stage (using Google Postmaster data if connected)
- A stage unlocks when you hit its full daily limit
- Missed days pause progress; they don’t reset it
- Send to your most engaged contacts first
Account health
Bounce, complaint and block limits
Cross the bounce or block limits and HighLevel pauses email for the sub-account; high complaint rates get you filtered by inbox providers. SMS, calls and workflows keep running.
| Compare | Healthy | Warning | Action |
|---|---|---|---|
| Rates | |||
| Hard bounce rate | 0–3% | 3% (warning email) | 5%: 12-hour pause; 3rd block permanent |
| Spam complaint rate | Under 0.10% | 0.10–0.30% | Over 0.30%: delays, filtering or blocks |
| Inbox-provider blocks | Low | Warning email | 12-hour pause, then 24 hours |
Recovering from a block
- Pause bulk and cold campaigns
- Verify the list (Email Verification can lift a temporary bounce block sooner)
- Check SPF, DKIM and DMARC
- Restart slowly with your most engaged contacts
- A permanent block needs a support ticket; reinstatement isn’t guaranteed
From HighLevel’s bounce suspension (modified 17 September 2026), inbox-provider block (30 June 2026) and Google/Yahoo (30 June 2026) articles. Since 13 August 2026, small sends need at least 25 bounces before a bounce lock.
Inbox rules
Google and Yahoo bulk-sender rules, and how HighLevel handles them
- SPF and DKIM on your sending domain
- DMARC if you send more than 5,000 emails a day
- One-click unsubscribe: HighLevel adds the header automatically (not on 1:1 emails)
- Spam complaints well under 0.30%; aim below 0.10%
- Monitor with Google Postmaster Tools
HighLevel guides: Google and Yahoo requirements · Google Postmaster Tools.
Optimise
A/B tests and Smart Send
A/B tests
- Test the subject line or the content (not both)
- Up to 6 versions; at least 40 contacts
- Run for 30 minutes to 24 hours; winner by unique opens or clicks
- Send now or scheduled only (not batch or RSS)
Smart Send
- Sends at each contact’s likely best time
- Reports engagement lift against your 60-day baseline
- Doesn’t support A/B tests yet
Deliverability
Why GoHighLevel emails go to spam: a checklist
- Bulk email from the shared domain → set up a dedicated domain
- Missing DMARC or a From address on another domain → align them
- Old or bought lists that bounce → verify and clean before sending
- Skipping warmup on a new domain → follow the stages
- Mailing people who never open → re-engage, then stop emailing them
- Contacts who opted in, a recognisable From name and an easy unsubscribe
Troubleshooting
Common email problems and fixes
| Compare | Likely cause | Fix |
|---|---|---|
| Sending | ||

| Workflow email fails domain validation | From address on an unverified domain | Send from an address on your verified domain |
| Receiving and stats | ||
| SMTP replies don’t reach the inbox | “Enable reply” is off | Turn it on |
| Stats show “delivered” only after opens | Third-party SMTP limits | Use LC Email or Mailgun |
| Gmail sends stop mid-day | Gmail’s ~500/day limit | Move bulk email to LC Email |
