Payments

Taking payments and deposits at booking

Works on all calendar types (HighLevel article modified 2 September 2026).

  1. Step 1

    Connect a provider

    Payments → Integrations. Set the default gateway: it’s the only one calendars use.

  2. Step 2

    Turn on Accept Payments

    In the calendar’s Forms & Payments settings: amount, currency, description, Live mode.

  3. Step 3

    Choose full, deposit or card on file

    Partial payment takes a flat amount or a percentage.

  4. Step 4

    Collect the balance

    The remainder becomes a draft invoice. Open the appointment → Payments → Collect payment.

  • A deposit creates a transaction plus a draft invoice for the balance
  • Card on file saves the card without charging at booking
  • Klarna and Affirm can appear through Stripe for eligible customers
  • Partial payments don’t work on recurring calendars
  • Razorpay, NMI and Square aren’t supported on the Classic widget or service menu

Reminders, no-shows and rescheduling

Workflows do the reminding; self-service links stop the back-and-forth.

How do round-robin calendars work in HighLevel?
The calendar checks the first assigned team member’s availability and moves to the next free member, so bookings spread across the team. Customers can also pick a specific staff member in the Neo booking widget.
Does GoHighLevel sync with Google Calendar and Outlook?
Yes. Set a primary calendar (reads busy times and writes appointments) and optional conflict calendars (read only). Outlook sync supports Office 365 and Outlook.com, not on-premise Outlook.
How do I prevent double bookings?
Connect every team member’s Google or Outlook calendar as primary or conflict calendars, and make sure personal events are marked “busy”. Only busy events block slots.
Can I charge a deposit when customers book?
Yes. Turn on Accept Payments and Accept Partial Payment, then set a flat amount or percentage. The balance becomes a draft invoice you collect from the appointment later. Partial payments don’t work on recurring calendars.
Which payment providers work with calendars?

Why does my GHL calendar show no available times?

Can I take paid bookings for classes with limited seats?
Yes. Class booking calendars set seat limits per session, recurring schedules and payments.
How do I add buffers between appointments?
In the calendar’s Availability settings, set pre- and post-buffers. They reduce the bookable slots around each appointment.
Can customers cancel or reschedule themselves?
Yes. Enable cancellation and rescheduling in the calendar settings; links go into the confirmation and invite, and you can make them expire before the appointment.
Can I use my own domain for booking links?
Yes. Booking links use your branded API domain plus the calendar’s custom slug. Changing either later breaks links you already shared.
Can a booking form qualify leads before showing slots?
Yes. Calendar booking forms support disqualify logic, which runs before an appointment is created.
